Follow Up Boss Action Plans + SendMate: The Complete Setup Guide

Follow Up Boss action plans are the engine behind every assisted follow-up in your CRM. SendMate plugs directly into this engine, sending your text tasks without changing anything about how your action plans work. Here's how to set it up and optimize it.
Step 1: Connecting SendMate to FUB
When you first open SendMate, the setup wizard walks you through connecting your Follow Up Boss account:
- Enter your FUB email and password
- SendMate authenticates with Follow Up Boss directly
- Your daily text tasks load into the dashboard
That's it for the connection. No API keys to generate, no webhooks to configure, no Twilio accounts to set up.
Step 2: Configure Your Send Window
The send window controls when texts go out. Set these based on your market and personal preference:
- Start time: When you want texts to begin sending (e.g., 9:00 AM)
- End time: When texts should stop for the day (e.g., 6:00 PM)
- Active days: Which days of the week to send (most agents use Mon-Fri, some add Saturday)
- Text interval: The base delay between each text (e.g., 5 minutes). SendMate adds random jitter to make timing natural.
Step 3: Review Your FUB Action Plans
Your existing action plans probably already work perfectly. But here are a few optimizations to consider now that you have automation handling the sends:
Check your task timing. If your action plans create text tasks at specific times (e.g., "Day 1 at 9:00 AM"), make sure those times fall within your SendMate send window. Tasks created outside the window will queue until the window opens.
Review message length. Keep text messages under 160 characters when possible to avoid SMS segmentation. Longer messages still send fine, but shorter texts get better response rates.
Use merge fields. FUB merge fields like {{contact.firstName}} personalize your texts automatically. Make sure your templates use these instead of generic greetings.
Step 4: Set Up Holiday Holds
Navigate to Settings and enable the holidays you want to skip. SendMate comes preloaded with major US holidays. You can add custom dates for local holidays or personal days off.
Step 5: Choose Your Mode
SendMate offers two sending modes:
- Automatic mode: Hit start and walk away. SendMate works through your entire task list with randomized delays.
- Manual mode: Select specific tasks to send. Useful when you want to cherry-pick which leads to text today.
Most agents use automatic mode for daily operation and switch to manual when they want more control over a specific batch.
Optimizing Over Time
After your first week, review your SendMate dashboard:
- Daily send count: Are you getting through your full queue? If not, consider widening your send window or shortening the text interval.
- Landline percentage: How many tasks are flagged as landlines? This tells you about data quality in your FUB contacts.
- Send times: Check when texts are going out. Adjust your send window if you want to concentrate sends during peak response hours.
Common Setup Questions
"Do I need to change my action plan triggers?" No. Keep your existing triggers (new lead, stage change, tag added, etc.) exactly as they are.
"What about text tasks I've already completed?" SendMate only picks up pending tasks. Completed tasks are ignored.
"Can I run SendMate and my old service at the same time?" Not recommended. You'd risk double-sending. Cancel or pause the other service before starting SendMate.
The entire setup takes about 5 minutes. From there, your daily workflow is: open SendMate, click start, go sell houses.
